QGT Portal — Field Service Management Platform

1 Acceptance of Terms

By accessing or using the QGT Portal ("the Portal", "the System", "the Website"), you agree to be bound by these Terms & Conditions. If you do not agree with any part of these terms, you must not use the Portal.

QGT Portal is an online Field Service Management platform operated by Quantel (Pty) Ltd and made available to authorised clients, technicians, managers and administrative staff of participating companies.

2 The Service

The Portal provides a centralised platform to manage field service operations, including but not limited to:

  • Work Orders — creation, assignment, scheduling, execution and completion of site work orders.
  • Repair Notes — logging and tracking of repairs to equipment and assets.
  • Delivery Notes — management of deliveries, delivery confirmations and signatures.
  • Site & Hours Management — tracking of allocated vs. used hours per site, with automated over-limit alerts.
  • Technician Management — technician profiles, assignments, start/stop timers and completion records.
  • Account Management — account managers' site statistics, purchase orders and reporting.
  • Reporting & PDF Generation — work order, repair and delivery PDFs, and management reporting.
  • Mobile Application — companion mobile app for technicians and managers.

3 User Roles & Access

Access to the Portal is role-based. Each user is granted access appropriate to their role:

  • System Administrator — full control over the system, users, clients and configuration.
  • Client Administrator — manages a client's users, sites and operational data.
  • Technician — assigned work orders, repair notes, delivery notes and site work.
  • Account Manager — oversees specific sites/customers assigned to them, statistics and purchase orders.
  • HR — human resources view and reporting across the operation.
  • Repair — repair department workflow and status updates.
  • Stores — store/stock and purchase order handling.
You are responsible for safeguarding your login credentials. Never share your password. All activity on the Portal is logged and traceable to the logged-in user.

4 Acceptable Use

You agree to use the Portal only for legitimate business purposes related to your role. You must not:

  • Access, alter or delete data for which you are not authorised.
  • Attempt to gain unauthorised access to other users' accounts or databases.
  • Upload malicious software, or interfere with the operation of the Portal.
  • Misrepresent work performed, hours spent, or completion status of any work order.
  • Use the Portal for any unlawful purpose.

5 Data Accuracy & Integrity

Users are responsible for the accuracy of the information they enter, including work performed, hours spent, signatures, photos and notes. Information captured in the Portal is used for client billing, reporting and compliance and must reflect the true state of the work completed.

Hours captured against a site are monitored. Should a site exceed its allocated hours, automated notifications are sent to the relevant technician and account manager for the site.

6 Privacy & Data Protection

The Portal stores personal and business information necessary for the operation of field services. Quantel processes this data in accordance with applicable data protection laws (including the Protection of Personal Information Act, POPIA, where applicable). Data is used solely for the purpose of providing the Portal's services and will not be sold to third parties.

7 Intellectual Property

All software, design, branding, documentation and content of the QGT Portal are the property of Quantel or its licensors. You may not copy, modify, distribute or reverse-engineer any part of the Portal without prior written consent.

8 Availability & Maintenance

While Quantel aims to keep the Portal available at all times, it does not guarantee uninterrupted availability. Scheduled maintenance, upgrades and unforeseen outages may occur. We will make reasonable efforts to notify users of planned maintenance.

9 Liability

To the maximum extent permitted by law, Quantel shall not be liable for any indirect, incidental, special or consequential damages arising from the use or inability to use the Portal. Users rely on the Portal at their own risk, and it is provided "as is" without warranties of any kind, express or implied.

Always maintain a backup of critical business data independently. The Portal is a management tool and does not replace legal, accounting or compliance obligations.

10 Mobile Application

The companion mobile application provides technicians with on-site capabilities, including viewing assigned work orders, starting/completing work, capturing photos and signatures, and offline operation with synchronisation when connectivity returns. The same terms and acceptable-use rules apply to the mobile application.

11 Updates to Terms

These Terms & Conditions may be updated from time to time. Continued use of the Portal after changes are posted constitutes acceptance of the revised terms. It is your responsibility to review these terms periodically.
